What Should a Portfolio Company Investor Update Include?
A practical monthly investor update template for startups, with business-specific KPIs, cash context, material risks and clear investor requests.
Cesar Figueredo is the founder and CEO of Treto and a former venture capital investor.
A portfolio company investor update helps existing investors understand the company's current position and where their support may matter. A useful update gives enough evidence to assess progress since the last report and identify questions that deserve a conversation.
Reporting needs depend on the company's business model, stage and investor rights. A pre-revenue product team will report technical and customer-learning milestones. A recurring-revenue company can report revenue and retention. Each figure needs a definition and an as-of date.
Start with the reporting period and material changes
Identify the company, reporting month or quarter, author and date of the update. Explain any material departure from the prior plan, including changes in customer behavior, financing timing or management responsibilities. Link the underlying report when a development is consequential.
Select business-specific operating measures
For a SaaS company, the update may include ARR and MRR, NRR and GRR, customer counts and gross margin. A marketplace may use GMV and take rate, transaction frequency and contribution margin. A scientific or pre-revenue company may report technical milestones, trial progress or regulatory actions.
Show both the period and prior comparison. If monthly recurring revenue increased from $200,000 to $220,000, a $20,000 change is 10% month-over-month growth under the same recurring-revenue definition. Segment changes help investors understand what produced the movement.
Add the cash position and financing timetable
State period-end available cash, representative monthly net burn and runway, expected changes in hiring or spending, and any upcoming financing decision. Separate an arithmetic runway snapshot from a scenario forecast.
Example: $3 million in cash and $250,000 monthly net burn imply 12 months of static runway. A planned hiring increase may shorten that horizon. The update should show the assumed spending path and financing milestone used for management planning.
Include management judgment and important risks
Briefly explain which assumptions have strengthened, what remains uncertain and where the leadership team needs input. Identify the source of a reported customer-loss event, product issue or financing development and the immediate action management is taking.
Make investor requests actionable
Useful requests specify the kind of introduction, expertise or decision needed. For example, 'Please introduce us to enterprise procurement leaders who buy this category of software by October 30' gives investors more context than a generic request for introductions. Follow up on earlier asks in the next update.
An adaptable investor-update template
- Reporting period, company and date of update
- Company status and important changes since the prior report
- Milestones achieved, delayed or revised
- Company-specific KPIs with units, definitions and prior-period values
- Cash, net burn and financing outlook with stated assumptions
- Material operating risks and decisions facing the team
- Specific investor requests, with a contact or accountable owner
- Supporting documents and timing of the next update
The template should grow only when the company and its investors require more detail. Teams can use a consistent top section while maintaining metrics appropriate to their operating model.
How venture funds use the updates
A fund can compare updates with the original investment thesis and identify missed expectations, new risks or opportunities for support. Portfolio monitoring is the continuing process that turns individual company reports into follow-up work.
Treto's Portfolio workspace is designed to retain company updates, KPI definitions, supporting sources and issues requiring attention, helping an investor review what changed. The company remains responsible for its reported figures and the fund for its investment conclusions.
Questions investors ask
Should every portfolio company use the same investor update?
A shared structure can make reporting easier for a fund, but the substantive metrics should fit each company's business model and maturity. A software revenue measure may be meaningless for a company still completing product validation. Preserve the metric definition and period for useful comparisons.
How often should startups send investor updates?
A monthly or quarterly cadence should follow the company's needs and existing investor obligations. Faster-changing cash or financing conditions may deserve more frequent communication. A dated, consistent update with actionable questions is more useful than a larger package delivered without follow-through.
